A workplace incident rarely arrives with warning. A cut in a workshop, a sudden asthma attack in a meeting room, heat illness at an outdoor site or a road traffic incident involving a company vehicle all demand the same thing: an immediate, capable response. The best emergency kit for workplaces is not simply the largest box on the wall. It is a maintained system of appropriate equipment, accessible locations and people trained to use it.

For employers, this is a duty-of-care issue as much as a procurement decision. A poorly chosen kit may contain items nobody needs while omitting equipment that could make a practical difference in the first minutes. A well-planned provision reflects the workplace, its people, the work being done and the time it may take for professional medical help to arrive.

Start with the risks, not the catalogue

There is no single emergency kit that suits every workplace. An office with low physical risk needs a different level of provision from a warehouse, school, construction compound, marine operation or remote field site. Before choosing contents, carry out or review a first aid needs assessment.

Consider the number of workers on each shift, including contractors and visitors. Look at the nature of the work, known hazards, building layout, working hours, access to emergency services and whether teams operate alone, travel frequently or work in isolated locations. The assessment should also account for the people on site. Buying specialist trauma equipment without training can create false confidence, delay the right action or lead to incorrect use.

It is a distinct piece of emergency equipment that may be appropriate where staff numbers, public access, site size, response times or risk profile justify it. If an AED is installed, it must be visible, accessible, maintained and included in emergency drills. Staff should know its location and be prepared to call emergency services without delay.

Likewise, emergency medicines require careful governance. General first aid kits should not contain medicines for casual distribution. Where an organisation keeps specific emergency medication because of a defined operational need, it should have written authorisation, secure storage, expiry controls and trained, designated personnel. The legal and clinical requirements can vary, so organisations should seek competent local guidance.

Position equipment where it can be reached

A fully stocked kit is of little value if it is locked in an office, buried in a store room or placed far from the actual work. Position kits close to foreseeable hazards and where people can reach them quickly. Large premises may require several kits, with provision on each floor, in workshops, kitchens, security posts, vehicles and welfare areas.

Use clear signs and tell staff where kits are held during induction. Do not assume everyone will remember. In a stressful situation, people need obvious directions. A workplace map, emergency noticeboard and regular toolbox talks can reinforce the message.

Portable kits are especially useful for mobile supervisors, event teams, field crews and employees working away from the main building. Vehicle kits should be secured against heat, dust and damage, then checked as routinely as fixed-site kits. Assign a named person or team to inspect every kit at a planned interval and after every use. Check expiry dates, seals, cleanliness, packaging integrity and stock levels. Pay attention to environmental conditions. Extreme heat, moisture, dust and direct sunlight can degrade adhesives, sterile packaging and electronic equipment. Training turns supplies into an emergency response

Avoid the common procurement mistakes

The cheapest kit is rarely the best value if supplies are poor quality, difficult to replace or unsuitable for the site. Equally, an oversized kit filled with specialist items can be wasteful when no one is trained to use them. Choose equipment against assessed risk, not marketing claims.

Avoid mixing unrelated equipment into one case until it becomes difficult to find essentials.
